Procurement Services

Planing: 

• A new request for a Cost Estimate should be discussed between the Med 15 Canada Procurement Staff for all new requests.

• The Request Form must be submitted by e-mail to the appropriate Division Office and/or directly to Med 15 Canada Procurement Division.

Cost estimate: Upon receipt of the Request Form, the request is reviewed, and if it meets all of the necessary criteria, a draft Cost Estimate is prepared by Med 15 Canada Supply Department. Information included in the Cost estimate:
 

• Cost of goods/services

• Handling fee

• Freight and Insurance

•  % contingency buffer

• INCOTERMS

Commitment: On  the Buyerer’s acceptance of the Cost Estimate, a Memorandum of Understanding Med 15 Canada signed. Information included in the MOU:

Procurement and and delivery:

• Med 15 Canada Upon receipt of funds the Procurement  Division will initiate the procurement activities.

• Supplies are delivered to the Buyer.

Accounts settlement: 

• Invoices to Buyer(s) and freight forwarder are paid.

• Financial Statement of Accounts is prepared and sent to the Buyer(s) after the delivery of all supplies and/or provision of the services, and within 30 days of payment of the last expenditure.

• Any remaining contingency buffer and/or balances will be reprogrammed or returned based on Buyer(s) instructions.

Monitoring and evaluation
